Invoicing, Expenses, and Payment

Designed specifically for pharma and life science to ensure accuracy, accountability, and transparency in project-related incurred costs. From invoice initiation to submission directly from the HCP, this module goes beyond compliance for in-country and cross-border initiatives.

  • Embedded controls ensure invoices stay within engagement specific term, services, and rates in the fully executed agreement. Quick reference to the contracted details when creating an invoice simplifies the user experience. Data field constraints, including calculations and tracking, prevent fee-for-service over-payments and other errors.
  • Invoice generation can be restricted and require users to provide, via document upload functionality, appropriate proof of service (POS) documentation per line-item based on compliance and finance direction and policy. Providing proper POS before payments are made promotes accountability for all stakeholders and significantly reduces audit findings.
  • Progressive steps allow the user to choose an invoice from multiple templates based on the payment type(s) permitted. Users confirm in the template the activity location, which accommodates tax and payment gross-up implications, add services and hours to match the proof of service provided, and add mileage for approved travel stipend. Once complete, the invoice is systematically generated and routed for completion. Upon submission, the project owner or other authorized stakeholder can review and approve prior to making payment. A full activity log including action dates and times is retained for audit purposes.
  • Automated workflow options include configurable paths to review, verify and approve payments, and the ability to reject, recall, and remind stakeholders of actionable invoices.
  • Seamless integration with transparency reporting functionality eliminates manual data entry, reducing potential for error. Processed fee-for-service and reimbursed expense payments flow directly from invoice line items to domestic and cross-border reporting platforms as required by local, regional, country and global directives.
  • Global currency conversion rate calculator provides visibility to the applied conversion rate when reviewing payments, enhancing financial transparency, and reporting requirements.
  • Invoice activity is integrated into the Professional Dashboard and Contracting and Engagement Management module, allowing stakeholders to effectively manage payment timelines and HCP expectations.
